About the Role of People Operations Coordinator

Gremlin is seeking a People Operations Coordinator to join our People Ops Team. This role will focus on delivering a meaningful experience for candidates and current employees. They will partner with our Senior Recruiter to coordinate everything from scheduling interviews, to tracking candidate data, to ensuring that candidates have an unforgettable experience at every stage. The People Ops Coordinator will also be a pivotal partner in delivering programs that positively impact employees and help them thrive. The right candidate will excel at getting things done in a fast-moving and sometimes chaotic environment while keeping our candidates and employees top of mind.

This candidate will be an organizational guru, work effectively with internal stakeholders and candidates, possess great communication skills and have the ability to shift gears at a moment’s notice. This candidate enjoys the challenges of making Gremlin a place where each employee is operating at their highest potential. 

In this role, you'll get to:

People Operations:

  • Work with People Ops team to design and administer employee engagement surveys using CultureAmp
  • Assist with Performance Review process through CultureAmp configuration
  • Partner with activities committee to conceptualize, coordinate, and execute company-wide employee-related events
  • Manage onboarding tasks for new employees, including but not limited to hiring them in People systems, ordering laptop equipment, coordinating shipment of company swag and facilitating new hire welcome
  • Maintain People data and document organization
  • Partner with People Ops team to coordinate employee outreach, care packages and more

Recruiting Coordination:

  • Shepherd recruiting process for hiring managers and teams (job requisition, interview panel kick-off, Greenhouse user onboarding & support, interview and debrief scheduling)
  • Provide a comfortable and welcoming candidate experience from start to finish so that each applicant feels respected and becomes a champion of our brand
  • Maintain data integrity and document organization within Greenhouse, Google drive, and Slite

Remote Office Support:

  • Manage scheduling of internal, company-wide meetings and take detailed meeting notes, with special attention to follow up actions
  • Own the preparation and execution of monthly All Hands 
  • Partner with leadership to develop agenda
  • Communicate with presenting team members and ensure they meet timelines
  • Facilitate meeting, record and manage deck presentation
  • Partner with department leaders to coordinate and execute off-site meetings
  • Assist with off-site proposal, to include budget, agenda and attendees
  • Assist with travel and accommodations as well as any reservations for restaurants, activities, etc.

We'll expect you to have:

  • 1-2 years' experience in an administrative, human resources or talent acquisition role
  • A collaborative mindset with the ability to partner with multiple groups across the org
  • Creative, enthusiastic and proactive attitude - willing to lead projects and learn new things
  • High attention to detail, well-organized and adaptable. Must have an ability to handle multiple tasks, set priorities and build out processes in an ambiguous, fast-paced, high-growth startup
  • Ability to think strategically, while carrying out tactical transactions to support the employee experience
